ScribeOps Terms of Service

1. Who we are and what these terms cover

ScribeOps ("we", "us") is a technical-writing team. These Terms of Service (the "Terms") apply to every order, quote request, monthly plan and call booked through this site or agreed by email. By placing an order or signing a plan you accept them. If you do not agree, do not use our services.

2. Services

We offer three kinds of work:

  1. Fixed-price services. Each service page states the price, the unit it covers (for example an API of up to 30 endpoints, 50 pages of product documentation, one repository), the delivery time in business days and the number of revisions included. The price shown at the time of the order is the price you pay.
  2. Quote-based services. Some services, such as a documentation migration, depend on the size and state of your content. You describe the need, we send a written quote with scope, price and delivery date, and work starts once you accept it in writing.
  3. Monthly plans. A senior technical writer or a documentation manager (or both) working inside your tools for a fixed monthly fee, for six or twelve months; shorter needs are covered by the fixed-price services. Plans are described in section 5.

Industry-specific services (automotive, fintech, medical, aerospace and defense, and others) follow the same rules; their scope is described on their own page. Anything not covered by the service description is an add-on, quoted separately.

3. Brief, delivery and acceptance

Every order needs a written brief: what to document, for whom, source material and access. Delivery times start when we have the brief, the access we need and the payment. Late or incomplete material extends the delivery date by the same delay. A deliverable is accepted when you confirm it, or 7 days after delivery if we hear nothing.

4. Revisions and add-ons

Each service includes the number of revisions stated on its page, usually two, to be requested within 7 days of delivery. A revision corrects or adjusts the delivered work within the agreed scope; a change of scope is a new order or an add-on. Further revisions and add-ons are quoted before we start and invoiced separately. A documentation audit is credited in full against any project ordered within 60 days. Rush delivery, in less than half the stated delivery time, is quoted with a 30% premium.

5. Monthly plans

Plans are billed per role and per month, in euros, excluding VAT where applicable. A plan keeps a named writer on call for your releases all month, with replies within one business day, and includes up to 6 working days a month; days beyond that are billed at the plan's day rate:

The rate per role is stated in your quote or order confirmation.

You choose the role, or both. A plan covers the work described in the plan order: writing and maintaining the documentation, or running the documentation programme, inside your tools and at your pace. Tooling set-up, hosting of the documentation site with the documentation assistant (which answers from your documentation only) and the documentation metrics dashboard are included in 12-month plans and available as add-ons on other plans. Our own AI-assisted documentation tools are used on every engagement at no extra cost. Plans are invoiced monthly in advance. After the committed term a plan continues month to month and either side can end it with 30 days' written notice. The embedded writer plan provides one senior writer full time for a minimum term of 12 months, starting 4 to 6 weeks after signing, with 2 months' notice on either side.

6. Fees and payment

All prices are in euros. Fixed-price services are paid before work starts unless a plan or a written agreement says otherwise. Quotes are paid as stated in the quote. Invoices are due within 14 days; late invoices bear the statutory late-payment interest and we may pause work until they are settled. Prices exclude VAT and any bank charges.

7. Cancellation and refunds

If you cancel an order before we have started, we refund it in full. Once work has started, the payment covers the work done; we refund the part that has not been started, decided in good faith on the basis of the delivered and in-progress work. Monthly plan fees already invoiced for a committed term are not refunded.

8. Your cooperation

You provide the material, the subject-matter contacts, the tool access and the answers we need, in reasonable time. Delays caused by missing or incomplete information may extend delivery and, on plans, count as time spent.

9. Intellectual property

Once an order or plan invoice is paid in full, the copyright and other intellectual-property rights in the deliverables written for you transfer to you. We keep the rights to our pre-existing material (templates, style guides, tooling, methods) and grant you a licence to use it as part of the deliverables. Generative AI may assist our drafting; every deliverable is reviewed and finalised by a human writer, and we do not train third-party models on your material.

10. Portfolio use

We may mention you as a client and show the work in our portfolio or case studies, unless you tell us in writing, within 14 days of delivery, that you prefer not to. Anything under NDA is never shown.

11. Confidentiality

Both parties keep the other's non-public information confidential and use it only to perform the work. This obligation survives the end of the relationship. A separate mutual NDA can be signed on request.

12. Liability

Our total liability for any claim arising from these Terms is limited to the fees you paid for the order or plan that gave rise to the claim. We are not liable for indirect or consequential losses. You remain responsible for the technical accuracy of the source material you provide and for the regulatory use of the deliverables.

13. Referral partners

Partners who introduce clients to us may receive a commission under a separate affiliate agreement, paid once the introduced client has paid their first invoice in full.

14. Calls, assessments and chat

Calls booked through the site, the online documentation assessment and the chat are free and create no obligation for either side. What you share there is handled as described in our privacy policy.

15. Governing law and disputes

These Terms are governed by the laws of Mauritius. Disputes are first addressed by good-faith negotiation and, failing that, by the courts of Mauritius.

16. Miscellaneous

  1. We may update these Terms; the version published on the site applies to new orders and renewals.
  2. If a provision is unenforceable, the others remain in force.
  3. Contact: info@scribeops.com.

Have these Terms reviewed by a qualified lawyer for your jurisdiction before relying on them.
